The Race Hut – Terms & Conditions
1. When booking an Event for Individuals or Groups you are agreeing to the following:
All participants are required to arrive at the venue at least 15 minutes prior to the start of your event. The Race Hut will endeavour to include any late comers in your event but there will be no refunds or transfers.
In the event that The Race Hut cannot run events for reasons beyond our control your booking will be moved to a new agreed date alternatively you will be awarded credit towards a new future event.
When using our online booking system, it is your responsibility to make sure that all of your details are correct.
If your group size increases after making your booking, please contact The Race Hut to amend your booking up to 24 hours before the event start. Please note that additional drivers may only be added subject to availability.
No bookings can be provisionally held.
2. Open Races and Open Practice
Open Race Events and Practice Sessions require full payment on booking
3. Exclusive Race Events
To confirm your booking, you will need to pay either the deposit (non-refundable) or the full amount.
A balancing payment for your event will need to be made on arrival.
All pre booked catering requires full payment prior to event.
A single tab maybe created for drinks and snacks for an exclusive event however a dedicated payment card must be left behind the bar until payment of tab is complete. Full balancing of the tab is to be made before the conclusion of the event.
4. Race Hut Vouchers
Are valid for 12 months from purchase date.
Are for payment towards race formats only and CAN NOT be used to subsidise and food or drink packages including at the bar.
Must be used via our online booking system.
Cannot be used on day of purchase.
No cash alternative is available.
Cannot be used in conjunction with any other offers.
Single use only and non-refundable.
5. Refunds and Cancelation Policy
Once your event has been booked you cannot reduce the amount of drivers and no refunds will be given.
Date and time of bookings can be changed up to 7 days before your original event start time. The new time and date can only be confirmed through a confirmation email stating the new start time and date. This can be supplied only after agreeing a new mutually agreed date, subject to availability.
All bookings are non-refundable.
6. Online Booking System
By entering your details, you are agreeing to allow The Race Hut to use your email address for direct marketing.
You can unsubscribe at any time by clicking on the unsubscribe button at the bottom of any of our emails or email us at email@example.com with the title ‘unsubscribe’.
7. Simulator Restrictions
Minimum recommendation is 8 years of age, not a restriction as such, just our recommendation!
All drivers in the venue under the age of 12 must be accompanied by an adult.
b. Medical Conditions
It is your responsibility to inform The Race Hut of any condition which may be affected by use of the simulators. These may include; back conditions, heart conditions and epilepsy.
The Race Hut strongly recommends that if you feel ‘light headed’ while/after using our simulators, you should wait a minimum 60 minutes before driving on the public road.
c. Driver Size
The minimum height recommendation is 1.35m, not a restriction just our recommendation. Children may sit on parent’s lap!
The Race Hut will always do our very best to accommodate however it is recommended to attend the venue to have a seat fitting prior to your event if you are:
- Below 1.35m in height.
- Above 2m in height.
- Over 114kg in weight.
The Race Hut do not recommend the use of the simulators during pregnancy.
8. Food and Drink
Only food and drink purchased on site may be consumed the venue.
If you wish to provide your own catering, you may be required to pay a cover charge of £5 per person.
The Race Hut may refuse or restrict the sale of alcohol to any person for any reason. The Race Hut operate a Challenge 25 scheme, so should you look under age (lucky you) you will be asked for photo ID.
The Race Hut allow birthday cakes and candles to be bought into the venue during our Exclusive Race Event and Kids/Teens Party Events ONLY. No firework style birthday decorations may be bought into the venue at any time – as believe it or not they set off the fire alarms!
9. Behaviour and Attitude
a. The Race Hut reserves the right to refuse access and/or remove anyone from the venue if any of the behaviour’s stated below are adjudged to be in-appropriate.
b. Threatening behaviour
Anti-social or aggressive behaviour towards either staff or other customers whilst at the venue will not be tolerated. The Race Hut reserves the right to refuse access and or remove anyone from the venue.
We understand drivers may get carried away in the heat of the moment but The Race Hut requests that all drivers do not use inappropriate, or controversial language in the venue. Following a warning, The Race Hut reserves the right to refuse access and or remove anyone from the venue.
d. Treatment of Equipment
The use of simulators is provided subject to them being treated in a respectable fashion. If you are found to have been deliberately damaging equipment, The Race Hut will request payment for repairs. If the damage causes the business to lose custom, The Race Hut may seek additional compensation for the loss of business.
All participants, participate at their own risk.
The Race Hut accepts no responsibility for any injuries, accidents or illnesses caused at the venue for drivers, spectators or visitors.
The Race Hut accepts no responsibility for the possessions of drivers, spectators and visitors. The Race Hut advises that individuals do not bring valuable possessions into the venue, and if they must they should be on their person at all times.
The Race Hut accepts no liability for damage of items caused by the use of simulators.
The Race Hut accepts no responsibility for any damage to cars parked on the premises or nearby nor for any possessions within.
